Ministry of Coffee takes privacy seriously.
We are an Aussie-founded coffee brand built on community, warmth and doing things properly. That applies to data too. We would rather explain privacy clearly than hide it behind jargon.
This Privacy Policy explains what personal information we collect, how we use it, when we share it, how we protect it, and what rights you may have.
This Privacy Policy applies to information we collect through our website, café ordering flows, online shop, catering and wholesale forms, subscriptions, gift cards, customer support channels, email and SMS communications, and other online or offline interactions where this Privacy Policy is made available.
This website and the related Ministry of Coffee online services are operated by Ministry of Coffee LLC, trading as Ministry of Coffee. In this Privacy Policy, “Ministry,” “we,” “us,” and “our” mean Ministry of Coffee LLC and the website, online shop, café ordering channels and related services it operates under the Ministry of Coffee brand.
Privacy Policy
Information we collect
Depending on how you interact with us, we may collect personal information such as your name, email address, phone number, billing address, shipping address, business name, account login details, enquiry details for catering, wholesale, collaborations, private events or InKind, subscription preferences, gift card details, messages you send to us, and any other information you choose to provide.
When you place an order, make a purchase, subscribe, or submit a service request, we may also collect order and transaction information including products purchased, order history, order value, store or fulfilment location, pickup or delivery details, transaction date and time, order notes, subscription details, and limited payment-related information made available by our payment providers, such as payment status, card type, billing postcode, or the last four digits of a payment card. We do not store full payment card numbers on our own servers.
When you use the website, we and our service providers may automatically collect information such as your IP address, browser type and version, device type, operating system, pages viewed, links clicked, time spent on pages, referring URL, approximate location based on IP address, and cookie identifiers or similar technologies.
If you enable location services, we may collect location information to help show nearby cafés, improve ordering flows, or support delivery-related functionality.
If you sign up for emails, SMS or other updates, we may collect your subscription preferences, consent status, engagement information, message opens, clicks and related interactions.
If you submit a review, message, enquiry or other content, we may collect the information included in that submission.
Sensitive personal information
Some privacy laws classify certain data as sensitive personal information, such as precise geolocation, account credentials and certain payment-related data.
We use sensitive personal information only for limited and appropriate purposes, such as processing transactions, securing accounts, preventing fraud, providing requested services, or as otherwise permitted by law. We do not use it to infer characteristics about you.
How we collect information
We collect personal information directly from you, automatically through your use of the website, from service providers that support our ecommerce, ordering, subscriptions, communications, analytics, payments and fulfilment, from social media platforms where you interact with Ministry, and from business partners where relevant to a request you make.
How we use information
We use personal information to run and maintain the website, process café orders, online orders and eCommerce purchases, manage subscriptions, process payments and help prevent fraud, provide customer support, respond to enquiries, create and manage customer accounts, send order confirmations and service messages, improve website performance and customer experience, understand how people engage with Ministry, maintain security, comply with legal obligations, protect our rights and business, send marketing communications where permitted by law or where you have opted in, and support internal reporting and recordkeeping.
We may also use aggregated or de-identified information for analytics, planning and business improvement.
Toast and Shopify
Ministry currently uses more than one commerce platform.
We use Toast to support café point-of-sale functions and certain online ordering experiences connected to our café locations. If you place an order through a Toast-powered ordering flow or interact with Toast-supported services for Ministry, relevant personal information may be processed through Toast and related service providers to manage ordering, payment, fulfilment, support and related operational functions.
We use Shopify to power the Ministry online shop and certain eCommerce functions, including browsing, cart, checkout and order management. If you purchase retail products through our Shopify-powered store, relevant personal information may be processed through Shopify and related service providers to support checkout, payment, fulfilment, fraud prevention and store operations.
When you interact directly with Ministry, this Privacy Policy explains how Ministry handles your information. Third-party providers such as Toast and Shopify may also process your information under their own privacy terms and notices, and you should review those as well.
Marketing communications
If you sign up for marketing emails, SMS or other updates, we may send you information about products, launches, store news, offers and Ministry updates.
You can unsubscribe from marketing emails through the unsubscribe link in the message. You can opt out of SMS by following the instructions in the relevant message.
Even if you opt out of marketing, we may still send service-related communications such as order confirmations, shipping updates, account notices or legal updates.
Third-party services and links
Our website may contain links to third-party websites, platforms or services. We are not responsible for their privacy practices. Review their policies before giving them your information.
Data retention
We retain personal information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to fulfil café orders, eCommerce purchases and subscriptions, maintain business and tax records, comply with legal obligations, resolve disputes, detect and prevent fraud, and enforce our agreements.
Retention periods vary depending on the type of information, the service involved and the reason it was collected. When personal information is no longer reasonably necessary, we will delete it, de-identify it, or securely store and isolate it until deletion is possible.
How we protect information
We use reasonable administrative, technical and physical safeguards designed to protect personal information against accidental, unlawful or unauthorised loss, access, disclosure, alteration or destruction.
No method of internet transmission or storage is completely secure. We work hard to protect the information we hold, but we cannot guarantee absolute security.
Children’s privacy
Our website and services are not directed to children under 13, and we do not knowingly collect personal information from children under 13 without appropriate consent where required by law.
If you believe a child has provided personal information to us unlawfully, contact us and we will take appropriate steps.

Refund / Returns policy
Last updated: 1 July 2026
If something has gone wrong, let us know and we will look to sort it properly.
This Refund / Returns Policy applies to retail products purchased through the Ministry of Coffee online shop. It does not apply to café pickup, café delivery or Toast-powered location-based food and beverage orders, which may be handled separately depending on the order type and location.
General position
Because many of our products are fresh, consumable or limited-run, not every item is eligible for return or refund.
Unless required by law, the following general rules apply.
Coffee and consumable products
Fresh coffee, food products and other consumable items are generally not returnable once purchased.
If you receive the wrong item, a damaged item, a defective item, or something that arrives in poor condition because of a fulfilment issue, contact info@mocaustralia.com within 7 days of delivery and we will review it.
Merchandise and non-consumable items
Merchandise and other non-consumable retail items may be eligible for return or exchange if the item is unused and unworn, in original condition, returned with original packaging where reasonably possible, and you contact us within 14 days of delivery.
Return approval is at Ministry’s discretion, subject to applicable law.
Unless the return is due to our error or a defective item, original shipping charges are generally non-refundable and return shipping costs are your responsibility.
Wrong, damaged or defective items
If you believe you received the wrong item, or your order arrived damaged or defective, contact info@mocaustralia.com within 7 days of delivery.
Please include your order number, your name, a description of the issue, and clear photos of the item and packaging where relevant.
Once reviewed, we may offer a replacement, store credit or refund depending on the circumstances and applicable law.
Toast café orders
Café pickup, café delivery and certain Toast-powered online orders are handled separately from Shopify retail orders.
If you have an issue with a Toast-related order, contact the relevant Ministry location or use the support pathway provided with that order. Refunds, remakes or credits for café orders may depend on the location, fulfilment status and circumstances of the issue.
Gift cards
Digital gift cards are generally non-refundable except where required by law.
If physical gift cards are offered, they may be subject to separate terms shown at purchase.
Subscription orders
Subscription orders are subject to these policies and any separate subscription terms shown at sign-up.
If a subscription order has already been processed or dispatched, we may not be able to cancel, change or refund it. If there is an issue with the product received, contact us and we will review it case by case.
Refund method
Where a refund is approved, it will generally be returned to the original payment method used for the purchase, unless otherwise agreed or required by law.
Please allow reasonable processing time for refunds to appear, depending on your payment provider.
Changes to this Policy
We may update this Refund / Returns Policy from time to time to reflect changes in our operations, products or legal obligations.

Shipping policy
Effective date: 1 July 2026
This Shipping Policy applies to retail products purchased through the Ministry of Coffee online shop.
It does not apply to café pickup, café delivery, Toast-powered online ordering connected to a specific Ministry location, catering, wholesale, private events or custom service arrangements. Those may have separate timing, availability, fees or fulfilment terms depending on the store, platform or arrangement.
Where we ship
For this first phase, Ministry of Coffee ships within the United States only, unless otherwise stated on the site.
We do not guarantee shipping to all territories, PO boxes or special delivery zones. If we cannot fulfil an order to your address, we may contact you or cancel and refund the order as appropriate.
Processing times
We aim to process retail orders as quickly as possible.
Most in-stock retail orders are processed within 3–5 business days after the order is placed, excluding weekends, public holidays and peak periods.
Processing time is separate from shipping time. Orders are not shipped on weekends or public holidays. Processing may take longer during launches, promotions, holiday periods or high-volume periods. Some products may need additional handling time.
If there is a significant delay, we will do our best to let you know.
Shipping rates
Shipping rates are shown at checkout.
Shipping costs may vary depending on the items in your order, the order size or weight, the shipping destination, the shipping method selected and any promotion running at the time.
Shipping timeframes
Estimated delivery timeframes depend on your address, the carrier and the shipping option selected at checkout.
Once dispatched, delivery timing is in the hands of the carrier. Shipping estimates are not guaranteed unless expressly stated otherwise.
Tracking
Once your order has been dispatched, you will receive a shipping confirmation email with tracking information where available.
Split shipments
From time to time, an order may arrive in more than one shipment. That can happen where items are packed separately, fulfilled from different stock locations, partly delayed, or need different handling or dispatch timing.
Incorrect shipping information
Please make sure your shipping details are correct before placing your order.
Ministry is not responsible for delays, failed deliveries or extra costs caused by incorrect, incomplete or outdated address information provided at checkout.
If you realise you entered the wrong address, contact info@mocaustralia.com as soon as possible. We will try to help, but cannot guarantee changes once an order has been processed or dispatched.
Delays outside our control
Sometimes shipping delays happen for reasons outside our control, including carrier delays, weather, peak shopping periods, stock or supply issues, public holidays, incorrect delivery information or third-party service interruptions.
We are not liable for carrier or transit delays outside our reasonable control, but we will do our best to help you track an order and work toward a fair outcome.
Lost, damaged or incorrect orders
If your order arrives damaged, is missing items, or you believe you received the wrong product, contact info@mocaustralia.com within 7 days of delivery.
Please include your order number, your name, a short description of the issue, and photos of the parcel and item where relevant.
If a parcel appears lost in transit, we may need time to investigate with the carrier before offering a replacement, store credit or refund, depending on the circumstances and applicable law.
Returned to sender parcels
If an order is returned to us because of an incorrect or incomplete address, failed delivery attempts, refusal of delivery or an unclaimed shipment, we may contact you to arrange re-shipment at your cost, or cancel the order and issue a refund less any shipping or carrier charges already incurred, where permitted by law.
Gift cards and non-shippable items
Digital gift cards are delivered electronically and are not subject to shipping fees.
If physical gift cards or other special items are offered, any applicable shipping fees and timing will be shown at checkout or on the relevant product page.
Some products may not be eligible for shipping and may be marked as pickup only, local only or otherwise restricted.
Pre-orders and limited releases
If we offer pre-order items, limited releases or special products with extended fulfilment timing, estimated dispatch timing will be noted on the product page where possible.
If an order contains both in-stock and pre-order items, we may hold it until all items are available, or ship in multiple parcels where operationally possible.
Shipping partners
We may use third-party carriers and fulfilment providers to dispatch and deliver retail orders. Delivery services, tracking updates and transit times are subject to those third-party providers.
Shopify orders and Toast orders
Retail products purchased through the online shop are processed through our eCommerce setup and shipped in line with this Shipping Policy.
Café pickup, café delivery and certain location-based online ordering services are handled separately through Toast-powered ordering flows and are not governed by this Shipping Policy.
Changes to this Policy
We may update this Shipping Policy from time to time to reflect changes in our operations, fulfilment model, shipping partners or legal obligations.
